Terms and Conditions

IT IS THE APPLICANTS RESPONSIBILITY TO INCLUDE:

  • THE CORRECT AMOUNT FOR THE NUMBER OF TICKETS REQUIRED

  • A SIGNED AND DATED CHEQUE OR MOBILE NUMBER IF PAYING BY CARD

  • A STAMPED ADDRESSED ENVELOPE (THIS APPLIES TO EVERY APPLICATION)

  • TICK THE TERMS AND CONDITIONS BOX ON THE APPLICATION FORM

    We cannot be held responsible for applications lost in the post and we cannot process incorrectly filled out applications.

  • Tickets

    All tickets are issued by Us. Any person who purchases, possesses, uses, or attempts to use any ticket shall be deemed to have accepted and agreed to comply with these conditions. We are not responsible for any tickets bought from a third party and we cannot refund anyone (if the event is cancelled) who buys tickets from the third party.

    For the purposes of safety, security and/or checking compliance with these conditions, each ticket holder shall, if requested by any authorised person, co-operate and comply fully with the instructions and guidelines of such authorised person.

    We reserve the right to refuse entry (or re-entry) to people who are/have:

  • Underage and/or unaccompanied by a responsible adult aged 18+ with photo ID.;

  • Drunk and disorderly;

  • Abusive;

  • A broken wristband;

  • A damaged/defaced/forged ticket;

    Event site: Entry and Requirements

    Children are classed as under 18 and will be issued with a child wristband. If the Ticket Holder has applied for children’s tickets, they must ensure they arrive with someone who is over 18 with an adult ticket.

    There will be no entry for any child not accompanied by an appropriate adult.

    If the Ticket Holder has an adult ticket but look under 18 they will be asked for ID. Failure to provide proof of age will result in a child wristband being issued. Anyone under the age of 18 (or who, despite having an adult ticket, looks under 18 and cannot provide ID) will be instructed by security to remain at the gate until an appropriate adult can accompany them into the event. Ticket Holders should bring photographic ID to prove their age

    Children will not be allowed to exit the event unless accompanied by an appropriate adult.
    Wristbands will need to be shown when re-entering the event. All children under 18 will only be allowed to re-enter with an appropriate adult. No children will be re-admitted without an appropriate adult.
    To maintain a family-safe environment Littleastonbury operates a ZERO TOLERANCE DRUGS & UNDER- AGE DRINKING POLICY
    No-one under the age of 18 is permitted to be under the influence of alcohol at the Event. Any child (under 18) found drinking alcohol, will be detained by security, and only released to an appropriate accompanying adult. Any alcohol found on their person will be confiscated. Proof of age may be requested by the organisers/event security. We have a CHALLENGE 21 Policy.

    A random bag search will be in operation when entering the event for the safety and security of all guests. The Ticket Holder will be refused entry if they do not allow a bag search and no refund will be given.

    Picnics and drinks (soft and alcoholic) are allowed in the event
    No Dogs (unless Guide Dogs), BBQs, Naked Flames/Flares, Laser pens, Hoverboards, Electric scooters, Drones, smoke bombs
    No Unauthorised Generators, Tents, Gazebos, windbreaks or Parasols are permitted.

  • The Event opens at 4pm. The Ticket Holder will need to hand their ticket to our staff and they will receive a wristband. The Ticket Holder will need to put the wristband on their wrist before entering the main field.

  • The Ticket Holder is responsible for their wristband and it must be worn at all times.

  • Any lost or broken wristbands will invalidate the wristband and no replacement wristbands will be

    given.

  • Our security team will eject anyone who is not wearing a wristband during the event. Children who

    do not have wristbands will be returned to their parents and will be dealt with by our security team.

  • Ticket holders must always wear their wristbands whilst within the event site and tickets and/or wristbands must be produced for inspection upon our request on the request of any authorised person. Failure to do so may result in the ticket holder being ejected from the site without refund or

    compensation.

  • We reserve the right to implement any restrictions/conditions deemed necessary before and during

    the Event to ensure the safe management of the Event site. The Ticket Holder must at all times

    comply with any and all instructions given to you by Event staff.

  • Please note that by entering the Event the Ticket Holder gives their express consent to being

    photographed/filmed or sound recorded as part of the audience, and to their name, voice and/or likeness being included within any film, photograph, audio or audio-visual recording of the Event to be exploited in any and all media for any purpose at any time throughout the world. This may also include filming by the police or security staff for the security of attendees at the Event or the prevention of crime. If the Ticket Holder wishes to have their image pixelated in any video recordings, they must email admin@littleastonbury.co.uk with details and allow Us 28 days to carry out the pixelation.

  • Strictly no trading allowed on-site without the Promoter’s written consent.

  • We reserve the right to alter the Terms & Conditions of the Event from time to time and will publish

    these as and when necessary.

  • Line up / Acts for events are always subject to change and this does not constitute grounds for a

    refund.

  • Strobe lighting and smoke effects may be used at the Event.

  • We and/or any authorised person may refuse admission to or eject from the event site without

    refund or compensation any Ticket Holder who whilst within the Venue or the vicinity thereof, fails

    to comply with instructions from us and/or any authorised person, or refuses a security search.

  • Strobe lighting and smoke effects may be used at the Event.

  • A display screen will be used at the event and attendees to the event may be videoed.

    REFUNDS

    Tickets are non-refundable, this includes any changes of line up or acts at any time. This also includes If the event is cancelled for any reason. We shall only be required to refund a ticket (on application by the original ticket purchaser) with the face value of the relevant ticket, in the following circumstances:

If the event is cancelled before 4pm on the day of the event.

In the case of cancellation, personal arrangements including, but not limited to, travel, subsistence, accommodation etc. relating to the Event which have been arranged by you are at your own risk and We shall not be liable for any losses incurred from personal arrangements or wasted expenditure.

We are unable to accept any liability for personal damages, losses, or injuries sustained at the Event. Any personal property brought to the Event is at the Ticket Holder’s own risk.

As soon as we become aware of postponement, rescheduling or cancellation of the Event, all available information will be posted on the website and social media, but it is the responsibility of the ticket holder to keep up to date on all updates regarding the event.

The artist and performer line-up and all billed attractions are subject to change at any time without notice although Party in the Park will make reasonable efforts to ensure they are as advertised.

Admission is at ticket holder's own risk. We will not be held liable for any loss, injuries or damages sustained at the event including damage, theft or losses to property and motor vehicles, if the cause is due to the negligence of the ticket holder or the actions of other patrons or third parties.

Duplicate tickets will not be issued for lost or stolen tickets

Tickets may not be: (a) sold or transferred to another person; or (b) used by any person for promotional purposes, including as a prize or other reward in a competition or lottery, except with the prior written permission of Us (c) purchased by an agent on behalf of his or her principal.

Tickets cannot be used as part of any marketing, media, sales promotion, staff reward programme or general competition use whether commercial or non-commercial without prior written permission of Us

As a condition of sale the ticket holder consents to being filmed, photographed and recorded for television, radio, webcast and other public broadcast in any medium and/or for any video or DVD as part of the audience and/or by any CCTV cameras and recordings operated by or on behalf of and made by or on behalf of PIP for public safety and security purposes.

Liability

THIS SECTION - IS IMPORTANT AS IT SETS OUT THE LIMITS OF OUR LIABILITY TO YOU. PLEASE READ IT CAREFULLY

• If we breach our obligations to you under these Venue Terms or if we are negligent and, as a result, you suffer any loss or damage in connection with your visit to the Event :

• we will only be liable for your loss or damage up to an amount equal to the face value of the Ticket purchased by you for the Event you are attending (if any); and

• we will not be liable to you for any losses or expenses incurred in connection with your visit to the Event, or its cancellation postponement or changes. For example we will not be liable to you for the cost of any personal travel, accommodation or hospitality arrangements made in connection with the Event..

Governing Law - These Terms of Use shall be governed by English Law and we both agree to subject to the exclusive jurisdiction of the English courts.

Severance- If for any reason a court of competent jurisdiction finds that any of these Terms of Use are unenforceable the remaining terms of these Terms of Use shall survive and remain in full force and effect.

Medical treatment at the event is provided by St John’ Ambulance who are a separate legal entity. We accept no liability for any injury, claim or damages resulting from any medical treatment onsite.

TICKET COLLECTION DAY IS 15th JUNE 2024 BETWEEN 10AM - 12PM
THIS IS THE ONLY DAY THAT OUR VOLUNTEERS ARE AVAILABLE TO GIVE OUT TICKETS. PLEASE MAKE SURE YOU CAN COLLECT ON THIS DAY, AND IF NOT THEN ARRANGE FOR SOMEONE TO COME ON YOUR BEHALF. IF YOU DO NOT COLLECT THEM THEN THEY MAY BE REFUNDED AND GIVEN TO THE NEXT PERSON ON OUR STANDBY LIST

Privacy policy

1. What is this policy for?

1.1 Whenever we need to collect any of your data, we will let you know why we need to do so and what it will be used for, but this guide provides a useful overview of all of those situations and provides more detail on how we keep your data secure and up to date, how long we might hold it for, and what your rights are in relation to it.

1.2 Littleastonbury is committed to protecting your personal data and will use any personal or sensitive data we collect from you in line with the General Data Protection Regulations (GDPR).

2. Who’s responsible for data the group collects?

3.1 Littleastonbury collects data from individuals to help us plan, organise and run our day-to-day operations.
3.2 Event attendees: for processing and managing tickets for events
3.2.1 As our events are ticketed, we need to collect your data in order to allow you access to the event and to send you a confirmation of your reservation/purchase.

3.2.2 This data will only be used for administering your access to the event/s for which you have booked and will not be used to send you marketing/promotional messages from the group unless you have also provided your consent to receive these (see below).
3.3 Mailing list subscribers: for marketing and promotion

3.3.1 We offer everybody the opportunity to sign up (consent) to receive marketing and promotional information on our activities (e.g. emails about forthcoming events).
3.3.2 When you sign-up to our marketing mailing list we will ask for your name, email, phone number and postal address. We will use this data to send you information about our events and activities (e.g. forthcoming performances, social events and fundraising events).

3.3.3 Anything we send you will include a clear option to withdraw your consent (i.e. to opt out of future emails) and you can also do so at any time by contacting the Data Protection Officer (identified in 2.1 above)
3.4 Cookies on our website

3.4.1 Pseudonymous or anonymous data (including behavioural, technological and geographical/regional) on an individual may be collected via tracking ‘cookies’ when they access our website or interact with our

emails, in order for us to monitor and improve our effectiveness on these channels.
3.4.2 Digital tools may be used to monitor the impact of our communications, such as using email tracking to record when an email we send to you has been opened or using Google Analytics and other analysis tools.
3.4.3 We will implement a pop-up box on our website that will activate each new time a user visits the website. This will allow them to click to consent (or not) to continuing with cookies enabled, or to ignore the message and continue browsing (i.e. give their implied consent). It will include a link to this Privacy Policy.

4. Do we share your data with anyone else?

4.1 We will never pass on your details on to third parties except where we use third party services for Festival communications and ticketing. We will always make sure any third parties we use are reputable, secure, and process your data in accordance with your rights under GDPR.

5. How can you update your data?
5.1 You can contact us at any time at admin@littleastonbury.co.uk to update or correct the data we hold on you.

6. How long will we hold your data?
6.1 Littleastonbury data retention policy is to delete all data regarding ticket applications (name, address, telephone number and email address) one month after the event takes place
6.2 Where you have withdrawn your consent for us to use your data for a particular purpose (e.g. unsubscribed from a mailing list) we may retain some of your data for up to two years in order to preserve a record of your consent having been withdrawn.

7. What rights do you have?
7.1 Under the GDPR, you have the following rights over your data and its use:

  • The right to be informed about what data we are collecting on you and how we will use it

  • The right of access – you can ask to see the data we hold on you

  • The right to rectification – you can ask that we update or correct your data

  • The right to object – you can ask that we stop using your data for a particular purpose

  • The right to erasure – you can ask us to delete the data we hold on you

  • The right to restrict processing – you can ask that we temporarily stop using your data while the

    reason for its use or its accuracy is investigated

  • Though unlikely to apply to the data we hold and process on you, you also have rights related to

    portability and automated decision making (including profiling)
    7.2 All requests related to your rights should be made to the Data Protection Officer (identified in 2.1 above) We will respond within one month.

8. What will we do if anything changes?
8.1 This policy will be reviewed annually.
8.2 If we make changes to our privacy statements or processes we will post the changes here. Where the changes are significant, we may also choose to email individuals affected with the new details. Where required by law, will we ask for your consent to continue processing your data after these changes are made
